Add and Manage Roles

A crucial function in DBL is your ability to manage, add, and edit roles for your organizations. You can access this from the ‘Roles’ tab in the organization to manage. 

From your dashboard, click ‘My account’ in the top right corner to then click on ‘My organizations’.

This takes you to the ‘My organizations’ page. Then, click on the ‘View’ button next to the organization you want to manage.

Finally, click on the ‘Roles’ tab to view the roles information.

Pending Requests

Any pending requests from organizations to manage their account, content, or licenses will show up here. You have the option to either deny or accept these requests.

Direct Managers

This section contains information about individual users, delegate organizations, and pending organization invitations.

  • Individual users are those with a role to help manage your organization. These could be active users or users with a pending invite. Each user profile will also have their email and their specific role(s). To better understand roles, click here.
  • Delegate organizations are organizations with approved managers who help manage your organization. This section also shows the organization’s location and the manager roles it fulfills on behalf of your organization. See the article, How to Delegate Access, for more details.
  • Pending organization invitations shows the organizations that have not yet accepted your invitation to become a trusted delegate organization. This also shows the location of the organization and the manager roles you’ve invited them to fulfill. 

Account Manager and the Importance of Roles

When a new organization is created, the user is only assigned the Account Manager role by default. The organization's Account Manager will need to add users and roles to be able manage content items and licenses.

Here are three ways to assign important roles:

  • The Account Manager may invite one user to be Content Manager and a different user to be License Manager. It's also possible to assign one user with multiple roles. See the article, Organization Roles and Permissions for more info.
  • The Account Manager may add the roles of Content Manager and License Manager to themselves so that they can access content items, make license agreement requests (as a Distributor), and create license agreements (as a Contributor).
  • The Account Manager may also delegate another organization to have manager roles.

Note: If the Account Manager of an organization does not add the Content Manager or License Manager role to at least one user or a delegated organization, the organization will not be able to manage content items or license agreements.

How to Add a Role or Manage Roles

Click on the 'Edit' link on the right side of the individual user or delegated organization. The edit window will look something like this:

Check a box to assign that role and uncheck a box to remove that role. (The Observer role allows a user to have read-only access to view the organization's information.)

Click the Save button to update the roles. Click the Cancel button to keep the user's roles as is.

Click on the three vertical dots to the far right to remove the user.

Organizations you support

This section shows the organizations you help manage, their location, and your specific role(s) for that organization.

API Keys

API Keys allow you to connect your organization with other software, e.g. automation scripts, business intelligence (BI) tools, and custom Web applications. API Keys can be viewed, generated, and edited in this section. Read more about API Keys in this article.
