Managing Agreements

This section provides the tools to track, review, and take action on agreements throughout their lifecycle. By filtering agreements by status, License Managers and Administrators can quickly process approvals, manage renewals, and archive agreements.

Accessing Agreements

Navigate to the Manage agreements section from “License” in your dashboard navigation bar.

Click an agreement's "View" link to see its details and available actions.

Contributor View

Reviewing and Approving Agreements

Navigate to the "Requests" tab under Agreements.

Click the “View” link on the agreement item to open the details page and review:

  • Content description
  • Licensing terms
  • Expiry date

Select an action:

When reviewing an agreement, you can decide whether to grant access to the Distributor for the specified content under the outlined licensing terms.

  • Approve: Click "Approve", then confirm. This finalizes the agreement, making it active. The distributor will be notified, and they will gain access to the content under the agreed terms.
  • Deny: Click "Deny", enter a reason (optional), and submit. This will reject the agreement request. The distributor will receive a denial notice, and the agreement will not proceed.

Note: Once an agreement is denied, the distributor must submit a new request if they wish to proceed with a revised agreement.

Filtering Agreements by Task

Select agreement tasks by using a filter in the "My tasks" section:

  • "Needs review" – Requires review.
  • "Needs approval" – Ready for final approval.
  • "Renewal eligible" – Agreement is near its expiry date and can be renewed early.
  • "Needs renewal" – Agreement is expired and needs to be renewed.

Archiving, Unarchiving and Revoking Agreements (License Managers Only)

To archive an agreement

  • Open the agreement details from the "Agreements" tab, then click “⋮”.
  • Click "Archive agreement".
  • The agreement will move to the "Archived" tab.

To Unarchive an agreement

  • Go to the "Archive" tab.
  • Select the agreement and click "Unarchive agreement".
  • A success message will confirm the action.

To revoke an agreement

  • Open the agreement details from the "Agreements" tab
  • Scroll down to the bottom of the page
  • Click 'revoke agreement.' Access to this content by the Distributor is immediately revoked.

Distributor View

Requesting an agreement

Distributors can request access to specific content by submitting an agreement request to the content provider. This request outlines the terms under which the distributor intends to use the content.

When submitting a request, the distributor must:

  1. Select the Content – Choose the specific Bible translation or media your organization would like to license.
  2. Specify License Details – Define distribution format (e.g., digital, print, audio).
  3. Submit for Review – The Contributor (content provider) will review the request and either approve or deny it.

Once approved, the agreement becomes active, and the distributor gains access under the defined terms. If denied, the distributor will receive a notification and may need to revise and resubmit the request.

Viewing Active and Archived Agreements

  • Active agreements appear in the "Agreements" tab.
  • Archived agreements appear under the "Archive" tab.
  • Distributors can view archived agreements but cannot unarchive them.

Sorting and Filtering Agreements

All users can Sort & Filter agreements based on:

  • Sort: Action required, Name, Provided by, Licensed to, Language

  • Format: Audio, Braille, Print, Text, Video

  • Date: By date range

  • Status: Active, Expiring Soon, Expired, Revoked


Non-License Manager View

View Only: Users who are not license managers can view agreements, but cannot take actions such as approving or archiving.
