Drafting an Agreement

Step 1: Initiate the Agreement Creation Process


  1. Navigate to your dashboard and click on "New", followed by "Create Agreement".


  1. Select the content for which the agreement will be established and click "Next".

Step 2: Define the Access Type

  1. Choose one of the following access options:
    • Open Access – Grants unrestricted access to all DBL users.
    • Controlled Access – Allows access only to specific organizations under predefined terms.
  2. Select the appropriate access type and proceed by clicking "Next Step".

Step 3: Identify the Distributor Organization

Select the organization that will receive access to the content.

If you are a license manager for multiple organizations, ensure you choose the correct entity.

Step 4: Select an Agreement Template

Choose from the following template categories:

  • Shared Templates – Recommended for agreements between organizations with an existing partnership.
  • Owned Templates – Templates created and managed by your organization, which may have varied access settings.
  • Community Templates – Templates publicly available to all DBL users after approval by the Care Team.

If no templates are available, you may need to create a new one.

Review the selected template and click "Preview" to verify its details before proceeding.

Step 5: Define Agreement Terms

If necessary, provide additional terms and conditions in the Addendum section.

Specify the Expiry Date, ensuring alignment with the agreed-upon duration between both parties.

Step 6: Configure Content and Service Options

  1. Select the content elements to be included, such as:
    • Introductions
    • Footnotes
    • Extended notes
    • Cross-references
  2. Choose whether to enable offline access.

Step 7: Finalize and Submit the Agreement

Click "Send for approval" to finalize the draft.

An automated email notification will be sent to relevant stakeholders.

The agreement status will be marked as "Review Pending" until all necessary approvals are obtained.
