Creating a Template
A DBL template provides the structure for inserting specific details to create agreements using standardized formats. For example, when a template uses template variables, that template can be used multiple times to create an agreement for different Distributor organizations, without having to create a new agreement from scratch each time.
The license manager or item licenser of a Contributor organization can create a template in DBL by clicking License on the top navigation menu and then click on the Create template button to the right.
To create a template, just fill in the blanks with all the information as shown in the screenshot below:
Here’s a brief explanation of different template sections, with links to articles with more details:
- Template summary - Briefly describe how this template can be used for creating a license agreement for your content. This text area includes editor buttons to style and format your text. You may also use Markdown to stylize your text. Suggested length for summary: 100 to 150 words.
- License type can be either Open access or Controlled access. Open access means anyone in DBL can access your content files instantly, while Controlled access means a DBL member must obtain permission from you (Contributor) first.
- Require attachment - Check this box to require the Contributor to attach a file when initiating an agreement. For example, this is useful when the Contributor and Distributor is negotiating an agreement outside of DBL. When the external agreement is finalized, that can be uploaded here, and approved by both Contributor and Distributor in the DBL agreement process. Another example is using an attachment with extra terms and conditions for use that supplements what is already included in the template details.
- Agreement details - DBL recommends that you enter the details of your agreement on Digital Bible Library by selecting the first option. Selecting the Self-hosted website option is useful for Creative Commons copyright licenses or you could link to a web page outside of DBL, but that may risk becoming a broken link unintentionally.
- Template access - you may keep your template private, or share this template with other organizations of your choice, or anyone in DBL. See the article, How to Share Templates, for details.
- Revision comment - when you’re creating a brand new template, you can simply enter 'initial revision.' When you make changes to an existing template, add a comment for what changes were made and that will be stored in the DBL as this template’s revision history.
Agreement details
When you select Access details to be stored on the Digital Bible Library, a new text area will open up for you to enter details for your agreement. Your screen will look like below:
This is the long portion of a legal agreement with legal terms and conditions of use that you as the Contributor define for Distributors requesting to use your content. This text is typically a long document with 8 to 12 sections, drafted and reviewed by your legal team, you will most likely copy/paste this text from another document (like Microsoft Word or Google Doc.)
When you’re finished, click on the Create template button to save all your work.
The newly created template will be reviewed by the DBL Care Team for its integrity before it is released and available according to the template access specified.
When someone selects this template (Contributors can use this to create a new agreement; Distributors can use this to request a new agreement), DBL will automatically replace the variables with relevant information from the Contributor, Distributor, content item, and more.
