How to Share Templates

The Contributor organization can create a template (Controlled access) and share them with other DBL members to use for licensing their content items. This helps our DBL community to collaborate and work better together.

Share an Existing Template

When a License manager of a Contributor organization navigates to the Content tab at the top of the dashboard and clicks on a content item’s View link to the right, the Summary page is displayed. Under the content item, click on the License tab.

Then click on the Browse templates button and the Owned tab to see a list of templates that you may choose to share.

Scroll down to find the template that you’d like to share. You may also use the search bar and start typing to find a template by title. Search results will automatically be displayed. Select the template to share by clicking on the View button to right.

1. When the template page is displayed, you’ll see an overview and agreement details. Scroll down to the section titled Template access and click on the Edit template access button to the right.

2. After you click the Edit template access button, a window will open with 3 selections:

  • Private - this keeps the template private and not shared
  • Selective - select this to selectively share with some other DBL organizations
  • Community - select this to share the template with all DBL organizations

Click Save when done or Cancel to make no changes. Learn more about the difference between Selective and Community.

Share a New Template

When a License manager of a Contributor organization navigates to the Content tab at the top of the dashboard and clicks on a content item’s View link to the right, the Summary page is displayed. Under the content item, click on the License tab to see the Create template button.

If the Contributor organization has no templates set up in its library, then you’ll see a screen like below. Since we want to share a new template, click on the Create template button to proceed. (If your organization already has templates in your library, the Create template button will be on the upper right corner.)

When the Create a template page is displayed, enter all the license template information and details. When you reach the section titled Template access, you can choose from Selective or Community to share your template.

When you’re finished entering all the template information, be sure to click the Create template button.

What is the difference between Selective and Community?

Selective means your template will be shared only with organizations in DBL that you selectively choose. 

The first option only makes the template available when your organization is a counterparty for a new draft agreement that is initiated by a Contributor or requested by a Distributor.

The second option allows you to selectively share the template with invited organizations. When you click on this option, use the search bar to find the organization you want to add. You may add multiple organizations, one at a time. When you invite organizations to use this template, it will be available under the Shared tab in the template library.

Community means your template will be shared with all other DBL organizations. When you choose to share your template with anyone, it will be available under the Community tab in the template library.
