Viewing an Agreement

This article explains how to view an agreement when you need to check the terms and conditions of use for the content item. 

If you’re a contributor organization, when viewing an agreement, you’ll be able to change its status, renew an expiring or expired agreement, or approve an agreement. For instructions to do any of these tasks, please see the article Managing agreements.

License agreements can be viewed by Account managers, License managers, Content managers, and Item licensers. Other users cannot view agreements and will only see a brief explanation of agreement types, namely Open access or Controlled access, and are prompted to Browse content.

To view agreements you have made with other organizations for accessing content, navigate to the top of the dashboard and click on License, then click on the View link to the right of an agreement.

Use the search bar to quickly find an agreement by its content title. Results will be displayed automatically. You may also use the Sort and filter button to the right.

When your screen opens to show the agreement, all details will be displayed:

  • Status: active, expiring soon, or expired
  • Agreement details
  • Addendum
  • Options
  • Approval process
  • Agreement history

How to Capture an Agreement to Print or File

While viewing the agreement page, you may capture the content of the entire page for an overview of the agreement by using your keyboard shortcut to Select All, Copy, and Paste the page into a new document on your local computer (i.e. Google Doc or Microsoft Word.) Also, you’ll need to Copy and Paste the content in the text area titled Agreement details and download any attachment.

Status of Agreement

A license agreement that’s been accepted by both organizations (Contributor and Distributor) has one of these three statuses:

Active - When an agreement is active, the Distributor organization will be able to access the content files.

Expiring Soon - When an agreement is less than 90 days from expiry date, DBL will send an email notification to both the Contributor and Distributor organizations. The Distributor organization’s License manager can Request renewal. The Contributor organization’s License manager can either Renew without changes and select a new expiry date or Revise and renew the agreement with updated terms.

Expired - When an agreement is expired, the Distributor organization will not have access to the associated content item. The Distributor organization’s License manager can Request renewal. The Contributor organization’s License manager can either Renew without changes and select a new expiry date or Revise and renew the agreement with updated terms.
