How to Set Up a License Agreement

Who Can Create New Agreements, Required Permissions

A contributor organization may create a new agreement when its manager(s) have specific roles within DBL. A distributor organization may request an agreement for controlled access content.

Setting Up a New Agreement

Create a New License Agreement

From your dashboard, click "New", then select "Create agreement".

You will see a "Create an agreement" window prompting you to select the content for which the license agreement will be created.

Use the search bar to type the content title or keywords. Results will appear automatically.

Select the Content

Click on the content you want to license. Selected content will be highlighted.

Click the "Next" button to proceed to license type selection.

Fill Out License Agreement Information

After selecting the content, proceed to fill out the license agreement details. You can enter information manually or follow the instructions in Drafting an Agreement for more detailed guidance on completing these sections.

License Type

Parties Involved

Add organizations to the license agreement:

  • Licensed by: Contributor organization (rights holder)
  • Licensed to: Distributor organization (licensee)

Add License Agreement Template

  • Select one of the following templates:
    • Shared templates
      • Templates shared with an organization, either as a counterparty or by invitation.
      • We recommend these templates as they often represent organizational partnerships.
    • Owned templates
      • Templates this organization owns. Templates in this field may have mixed access types (private, invited, community, etc.).
    • Community templates
      • Templates accessible to all organizations after it has been approved by the Care Team.

Additional Information

Add any additional terms not covered in the template under Addendum and upload supporting document(s) if the template requires them.

Submit for Approval

After submission, click "Send for Approval" to submit the license agreement for review.

The distributor organization will be notified by DBL, and you will receive an email once they approve or request changes.
